Creating log files

Description and scope of data processing


Each time our website is accessed, our system automatically collects data and information from the computer system of the accessing computer.
The following data is hereby collected:
    Information about the browser type and the version being used
    The user’s operating system
    The user’s IP address
    The date and time of the access
    The websites from which the user’s system accesses our website
    Websites the user’s system accesses via our website


In the event of an erroneous browser request, the following additional data will be stored in an error log file:
    The user’s IP address
    The date and time of the access
    Error code
    Websites the user’s system accesses via our website

The data is also stored in our system’s log files. This data is not stored together with other personal data of the users.

Legal basis for data processing

The legal basis for the storage of log files is Art. 6 Par. 1 lit. e) in conjunction with Par. 3 DSGVO in conjunction with § 4 of the State Data Protection Act BW (hereafter referred to as LDSG) in the applicable version from May 25, 2018.

Purpose of data processing

The storage in log files is done to ensure the functionality of the website. In addition, the data is used to optimize the website and to ensure the security of our IT systems. The data is not evaluated in this context for marketing purposes.

Storage Period

In the case of data being stored in log files, this is for a maximum  of seven days. A storage period beyond this is possible. In this case, the user’s IP-address is deleted or distorted, so that it is no longer possible to assign the accessing client.

Use of cookies

Description and scope of data processing

Our website uses cookies. Cookies refer to text files that are stored in the internet browser or stored by the internet browser on the user’s computer system. If a user accesses a website, a cookie can be stored on the user’s operating system. This cookie contains a characteristic string of characters which enables the browser to be uniquely identified the next time it accesses the website.
We use cookies to make our website more user-friendly. Some elements of our website require that the accessing browser can also be identified even after moving to another website . However, a personal reference cannot be established and is also not intended.


Purpose of data processing

The purpose of using technically required cookies is to simplify the use of the website. Some functions on our website cannot be offered without the use of cookies. For these functions, it is necessary that the browser can be identified even after moving to another webpage.
The user data collected by technically required cookies is not used to create user profiles.


Removal options

Cookies are stored on the user’s computer and transmitted by their computer to our website. Thus, you as user have full control over the use of cookies. You can deactivate or restrict the transmission of cookies by changing the settings in your internet browser. Previously stored cookies can be deleted at any time. This can also be done automatically. If cookies for our website have been deactivated, some website functions may not be able to be used to the full extent.

 

Forms

Description and scope of data processing

Our website contains forms for various processing activities. If a user makes use of this option, in addition to the information provided in Sections III. (and, if applicable, IV.), personal data will be processed. The same applies if, as an alternative to the web form, personal data is transmitted to the e-mail address provided for this purpose on the respective website.


The legal basis for the processing of data is normally Par. 6 Sect. 1 lit. e) DSGVO. If a different legal basis is relevant, you will be informed directly on the form pages. You will also be informed about the purpose of the processing and the deadlines for deleting data.
The data entered by the user as well as the date and time of the entry are stored. As an alternative to storage, it is also possible to send the information via the email address provided. In this case, the user’s personal data transmitted in the email is saved.


Web analysis via Matomo (formerly PIWIK)


Scope of processing data

We use the open source software tool Matomo (formerly PIWIK) on our website to analyze our users’ surfing behavior. The software places a cookie on the user’s computer (see above for more on cookies). If individual pages on our website are called up, the following data is stored:
    The first two bytes of the user’s accessing system’s IP-address
    The website accessed
    The website from which the user accessed the requested website (referrer)
    The subpages called up from the accessed website
    The amount of time spent at the website
    The frequency the website was accessed
    The browser used
    The client operating system used
    Hardware properties (e.g., the resolution of the monitor)
    Software properties (installed browser plugins, fonts etc.)
The software runs exclusively on our website’s servers. The user’s data is only stored there. There is no transfer of data to third parties.
The software is set up in such a way that the IP-address is not completely stored; instead the last two bytes of the IP-address are masked (e.g., 192.168.xxx.xxx). Thus it is not possible to assign the shortened IP-address to the accessing computer. Any personal reference to the user cannot be established and is also not intended.

 

Purpose of data processing

Processing the users’ data allows us to analyze our users’ surfing behavior. By evaluating the data collected, we are able to compile information about the use of the individual components of our website. This allows us to improve our website and make it more user-friendly. By making the IP address anonymous, the user's interest in protecting their personal data is sufficiently taken into account.

 

Storage Period

The data is deleted as soon as it is no longer required for our logging purposes. In our case, this takes place after 120 days.

 

“Do Not Track” Settings

Cookies are stored on the user’s computer and transmitted by their computer to our website. Thus, you as user have full control over the use of cookies. You can deactivate or restrict the transmission of cookies by changing the settings in your internet browser. Previously stored cookies can be deleted at any time. This can also be done automatically. If cookies for our website have been deactivated, it is possible that some website functions will not be useable to the full extent.
We respect your browser’s “do not track” settings. If you do not want your data to be used in the analysis procedure, set the “do not track” flag in your browser’s settings.

The rights of affected persons

You have the right to obtain information about personal data stored by the HTWG Konstanz - University of Applied Sciences Konstanz according to Par. 15 DSGVO and/or incorrectly stored personal data according to Par. 16 DSGVO.

In addition, you also have the right to have this data deleted (Par. 17 DSGVO), to limit the processing (Par. 18 DSGVO), and the right to object to the processing of this data (Par. 21 DSGVO). Only stored data technically necessary to operate the website is exempt. The collection of data for the preparation of the website and the storage of data in log files is mandatory for the operation of the website.

If the objection is made within the framework of a contractual relationship, this may have the consequence that it is no longer possible to fulfil the contract.

If the processing of personal data is based on consent, this can be revoked at any time. The legality of the processing remains unaffected until revoked.
